At ROOST Real Estate Co., we are not afraid of that.

But we are also not impressed by technology for technology’s sake.

This is our honest take on what AI means for our company, our team, and the people we serve — and why we believe it should make real estate more human, not less.

My AI Journey (And What It Actually Taught Me)

A few years ago, I started using AI tools as a regular part of how I run this business.

At first, it was mostly tactical. I used it to draft content, refine plans, organize ideas, and prepare for meetings. That alone was valuable — it saved time, helped me move faster, and gave me a way to get thoughts out of my head and onto the page.

But over time, I realized the bigger value wasn’t about offloading tasks.

The bigger value was that AI helped me challenge my own assumptions.

Used well, a good AI tool doesn’t just tell you what you want to hear. It pushes back. It asks better questions. It surfaces gaps in your thinking. It forces you to clarify what you actually believe, what you’re avoiding, and what the next right move might be. That’s been the real breakthrough for me — not the time savings, but the clearer thinking that comes from having a rigorous, always-available thought partner.

The practical benefits are real too. I’ve saved time on drafting, planning, and editing. That has created more bandwidth for the work only I can do: talking with owners, coaching our team, building relationships, thinking about where ROOST needs to go next.

But here’s the hard truth I keep coming back to:

AI does not execute.

It doesn’t make the call. It doesn’t have the hard conversation. It doesn’t hire the person, sign the lease, meet with the owner, inspect the property, or take responsibility when something goes wrong. At its best, AI holds up a mirror to your thinking. But you still have to act.

That’s why I believe the benefits will compound over the next three to five years — not because AI will replace judgment, leadership, or relationships, but because it creates more room for those things. The real promise of AI isn’t that it keeps us behind screens. It’s that it gives us more time to get back into the real world, with real people, making better decisions.

The payoff won’t come from AI alone. It comes when better thinking, better tools, and disciplined action come together.

AI Belongs Backstage So Our People Can Shine Front Stage

Here’s the core philosophy we’ve settled on at ROOST, and I want to be direct about it:

The best use of AI is not to replace personal service. It’s to protect it.

There is a lot of work in real estate and property management that clients never see. Notes to organize. Emails to draft. Updates to summarize. Meetings to prepare for. Maintenance histories to understand. Follow-ups to track. Checklists to review. This is the backstage work. It matters, it has to be done, and there’s a lot of it.

The problem is that too much backstage work pulls our team away from what actually creates value: talking to people, solving problems, advising clients, and making sure owners, tenants, buyers, and sellers feel genuinely taken care of.

AI gives us a way to automate, accelerate, and improve many of those repetitive backstage activities — without removing the human element from the process.

A tenant doesn’t need us to spend twenty minutes rewriting notes when AI can help organize them in two. An owner doesn’t benefit because we manually retype information that already exists somewhere else. A buyer or seller is not better served because an agent spends an hour staring at a blank page before writing a first draft. The value is not in the repetitive work itself. The value is in the judgment, care, context, and follow-through that comes after the repetitive work is under control.

That’s the shift we’re making. Protect the backstage. Invest in the front stage.

What AI Will — and Won’t — Do at ROOST

Let’s be specific.

AI will not replace AppFolio, Tenant Turner, Property Meld, or our other core platforms. Those systems are the operating backbone of our company. They are where official records live, where work orders are tracked, where leasing activity is managed, and where the real business of the company is documented. AI is not a replacement for those systems. It’s a layer of personal productivity on top of them — helping our team think better, write better, summarize faster, and communicate more clearly with the information we already have.

Used correctly, AI can turbocharge how our people work. Used carelessly, it creates confusion, erodes trust, and introduces errors that end up costing everyone more time to fix. That’s why the standard is simple: our core platforms remain the source of truth. AI helps us work with that information more effectively. It does not replace the systems that run the business.

There are also places where AI creates real risk, and we’re clear-eyed about those too. Tenant screening, fair housing compliance, pricing, licensing activity, and any decision that affects someone’s housing or financial future requires careful human review — not a black-box recommendation. The more important the decision, the more human accountability it requires. Full stop.

We’re also careful about data. ROOST handles sensitive information: owner financials, tenant records, applications, leases, maintenance issues, transaction details, and private client communications. AI tools are hungry for data — that doesn’t make them entitled to ours. We will not trade privacy for convenience.

The Challenge to Every ROOST Team Member

Every ROOST team member now has a responsibility to learn how to use AI to improve their own workflow. That’s not optional in the long run.

I’m not asking anyone to become a programmer. I’m not asking anyone to use AI for everything. I’m asking every team member to become more effective.

Use your ROOST Team AI accounts to help you organize your thoughts. Use it to draft a clearer email. Use it to summarize a complicated situation before you escalate it. Use it to prepare for a phone call. Use it to turn messy notes into a clean update. Use it to think through what might go wrong before it does.

Use it to get unstuck. Use it to ask better questions.

The challenge for each of us is to look honestly at our own work and ask: What am I doing over and over againthat AI could help me do faster? Where do I lose time? Where do I get stuck? Where do I need a better first draft or a clearer summary? Team members who learn to ask those questions will become more valuable, not less.

But I want to be equally clear about something:

AI should not make us careless. It should make us sharper.

It should not make us less accountable. It should make us more accountable. It should not make us less human. It should give us more room to be human.

AI does not fix poor habits. It magnifies them. If someone is careless, AI helps them become careless faster. If someone is thoughtful and disciplined, AI helps them become more effective faster. That’s why the standard matters. We’re not just adding another tool — we’re raising the bar for how we work.

Relationships First. Always.

ROOST is a relationship company before it is a brokerage, a property management company, or a technology-enabled platform.

Our clients don’t hire us because we have software. They hire us because they need judgment, guidance, follow-through, local knowledge, and someone who accepts responsibility when things get complicated. AI will never be used as an excuse to hide behind automation.

When a client needs a person, they deserve a person. When a situation is emotional, sensitive, urgent, or complicated, we need human judgment. When there is bad news to deliver, we need courage and clarity. When someone is confused, frustrated, or worried, we need empathy. AI can help us prepare for those moments. It cannot replace us in those moments.

ROOST was built on the belief that relationships are more valuable than any single transaction. That doesn’t change because a new technology shows up. In fact, AI makes that belief more important than ever — because in a world where everything can be automated, the companies that stay genuinely personal will stand out.

Boutique at Scale — This Is How We Do Both

One of the defining tensions of our business has always been this: how do we deliver a boutique, relationship-based experience while building a company with real operational depth and scale?

AI is one of the most practical answers we’ve found.

Boutique means personal, thoughtful, and relationship-based. Scale means documented, consistent, system-supported, and not dependent on any one person remembering everything. AI helps us do both when used well. It helps us deliver a more personal experience because our team isn’t buried in repetitive administrative work. It helps us see the whole picture faster. It helps us explain what’s happening more clearly. It helps us move from reactive to proactive.

That is a big deal in property management.

We’ll use AI to help us summarize maintenance histories, review owner communications, organize inspection notes, identify recurring issues, explain financial results, and improve the overall owner experience. We’ll use it to turn what we know into content, training, client education, and better operating discipline. We’ll use it to punch above our weight against bigger institutional companies — without becoming one of them.

The goal is not to sound like everybody else. The goal is to become more useful than everybody else.

What We Commit To

We will be transparent with our clients. They deserve to know we use modern tools to serve them better — and they deserve to know we don’t outsource our responsibility to those tools. When AI helps us draft, summarize, or organize information, we are still responsible for the final work. We will review, edit, verify, and take ownership of what we send. If it comes from ROOST, it is our responsibility.

We will keep learning. AI will keep changing. So will this industry. So will client expectations. We’ll keep testing, documenting, training, and improving. Some tools will prove valuable. Others will be distractions. We’ll keep what helps us serve people better and leave the rest behind.

Our standard is straightforward: Does this help us make real estate faster, easier, or better for the people we serve? Does it protect relationships? Does it help us make better decisions? Does it help our team become more capable? If yes, we’ll learn it. If not, we’ll leave it alone.

The Bottom Line

AI will change real estate. But it won’t change what matters most.

Owners still want their properties protected. Tenants still want safe, functional homes. Buyers still want guidance. Sellers still want clarity. Agents still want support. Team members still want meaningful work. Clients still want someone they can trust.

AI will help us automate the backstage so our people can spend more time front stage — with the people we serve.

It won’t replace our core platforms. It won’t replace our judgment. It won’t replace our relationships. It won’t replace execution. But it can help us become faster, clearer, smarter, and more consistent. It can help us create more capacity. It can help us challenge our assumptions and serve people better.

And if we use it well, it can help us build the next version of ROOST without losing what made ROOST worth building in the first place.
